​This Agreement applies to all students who enrol in, register for, or participate in training programmes or coaching activities provided by Radius Table Tennis.

This Agreement is governed by applicable New Zealand law. For students under 18, this Agreement must be signed or confirmed by their legal parent or guardian.

By completing registration or paying the relevant fees, the student and their parent/guardian are deemed to have read, understood and agreed to all terms of this Agreement.

I. Courses and Coaching Services

1. Coaching services provided by Radius Table Tennis include, but are not limited to:

(1) Term Programmes:
Generally run in line with New Zealand school terms, providing structured, level-based training.

(2) Short-Term or Holiday Programmes:
Intensive training, recreational programmes or trial programmes offered during specific periods, including school holidays.

(3) Customised or Specialised Programmes:
Including customised small-group lessons, specialised intensive training, or other programmes arranged according to specific needs.

Specific course content, schedules, coach arrangements, fees and class sizes are subject to the enrolment information, official notices or registration confirmation issued by Radius Table Tennis for the relevant programme.

2. Radius Table Tennis courses are intended to provide table tennis skills training and sports coaching and do not guarantee specific educational or competitive outcomes.

3. Students understand that improvement in sporting skills is affected by factors including physical condition, training frequency, attendance and participation. Radius Table Tennis will provide a reasonable and professional training environment and coaching support but does not guarantee competition results, grading outcomes or other specific results.

4. Different course types may have different booking, absence, make-up, cancellation and fee rules. Any separate course information, registration rules or specific terms issued for a programme will apply together with this Agreement.

II. Attendance, Absence, Make-Up Lessons and Class Transfers

1. Course Registration and Confirmation

Students or their legal parents/guardians must register through the channels specified by Radius Table Tennis and provide accurate and complete student information, health information and emergency contact details as required.

Registration is subject to final confirmation by Radius Table Tennis. A course place or booking is confirmed only after the relevant fees have been paid and written or electronic confirmation has been received.

Students or parents/guardians should check the course name, time, fees and other arrangements promptly. If any information is incorrect, Radius Table Tennis should be contacted as soon as possible.

To the extent permitted by law, Radius Table Tennis is not responsible for consequences arising from inaccurate or omitted information, including allergies or pre-existing medical conditions.

2. Attendance Requirements

Students must arrive on time and attend according to the confirmed course schedule. If a student is late for personal reasons, the lesson will generally not be extended and no additional compensation will be provided.

All students attending courses at the venue must complete any required check-in or attendance registration and cooperate with Radius Table Tennis and its coaches in course management.

Students under 18 should generally be dropped off and collected by their legal parent/guardian or an authorised person. If a parent/guardian agrees for a student to arrive or leave independently, arrive early, be collected late, or follow another special arrangement, prior written authorisation or confirmation must be provided in accordance with Radius Table Tennis requirements for minors.

Any time a minor remains at the venue before or after a course, or during other non-course periods, must comply with Radius Table Tennis rules regarding minors and venue use.

3. Absence

(1) Term Programmes

Each student is entitled to one (1) personal absence request per term or programme. At least twenty-four (24) hours' notice must be provided in writing or electronically.

If a student cannot attend due to sudden illness or injury, medical leave may be requested with an official medical certificate. This is not subject to the above absence limit. Radius Table Tennis will decide whether an additional make-up lesson can be provided based on the circumstances.

(2) Holiday Programmes

Students may generally take leave from holiday programmes and should notify Radius Table Tennis as early as possible if they cannot attend for personal reasons.

Due to the short and intensive nature of holiday programmes, missed sessions are not eligible for make-up lessons, rescheduling, extensions or refunds.

(3) Customised or Specialised Programmes

Customised or specialised programmes are subject to the arrangements of the relevant programme.

Once registration or booking has been confirmed, students who cannot attend for personal reasons should notify Radius Table Tennis as early as possible. Such absences are generally not eligible for make-up lessons, rescheduling, extensions or refunds.

In cases of sudden illness, injury, emergency or other special circumstances, students or parents/guardians may contact Radius Table Tennis. The venue may consider alternative arrangements based on the course type, notice provided, coach availability and venue arrangements.

(4) Absence Without Notice

If a student does not provide the required notice of absence, the session will be treated as having been provided as scheduled. No make-up lesson, rescheduling, extension or refund will be provided.

4. Make-Up Lesson Policy

For term programmes, students who meet the absence requirements under this Agreement may arrange a make-up lesson within the same term.

Make-up lessons are subject to class availability and the course schedule and are not guaranteed to be with the original class or coach. If a confirmed make-up lesson is missed for personal reasons, no further make-up lesson will be arranged.

Holiday programmes, customised programmes, private lessons, customised group lessons and other specialised programmes do not provide regular make-up lessons. Specific arrangements are subject to the relevant course information or specific terms.

If a course cannot proceed due to Radius Table Tennis, the venue will arrange a make-up lesson, rescheduling, course extension or course credit as appropriate. This will not count towards the student's personal make-up entitlement.

5. Class Transfers and Mid-Term Enrolment

Students in term programmes who wish to transfer classes for personal reasons must apply in advance. Transfers are subject to the student's level, class availability and course arrangements and must be confirmed by Radius Table Tennis.

A class transfer cannot be used as a substitute for an absence or make-up lesson.

Mid-term enrolment is subject to confirmation by Radius Table Tennis. Fees will generally be calculated based on the remaining sessions, with the final course and fee arrangements subject to confirmation.

Adjustments to holiday programmes, customised programmes and other specialised programmes are subject to the relevant course information or specific terms.

III. Fees, Withdrawal and Refunds

1. All course fees must be paid in full before the course begins to secure the student's place.

All published course fees include 15% New Zealand Goods and Services Tax (GST).

If payment is not completed as required, Radius Table Tennis may cancel the relevant course place or booking.

2. In accordance with New Zealand law and industry practice, refunds are handled in the following circumstances:

(1) If Radius Table Tennis fails to provide a complete and reasonable service, or the service is materially different from its description, the student may request a refund under the Consumer Guarantees Act.

(2) If Radius Table Tennis cancels an entire programme and cannot arrange make-up lessons, fees for unused sessions will be refunded on a proportional basis.

(3) Withdrawal for Personal Reasons:
If withdrawal is requested at least 7 days before the course begins, Radius Table Tennis will refund the remaining amount paid after deducting reasonable administrative costs already incurred, generally no more than 20% of the course fee.

Once a course has started, refunds are generally not available. However, if a student cannot continue due to serious illness or injury supported by medical evidence, or permanent relocation outside the local area, Radius Table Tennis may refund the remaining balance or provide course credit after deducting reasonable administrative costs.

Cancellation and refund arrangements for holiday programmes, customised programmes or specialised programmes are subject to separate programme rules, registration information or specific terms.

3. Course discounts, membership benefits or other additional entitlements received through promotions, membership or other special arrangements must be used according to the relevant rules and generally cannot be exchanged for cash.

If a refund or course credit is provided, the amount will generally be based on the course fees actually paid. Discounts, benefits or other entitlements not separately paid for are not included in the refund or credit amount.

4. If courses are suspended or the venue is temporarily closed due to natural disasters, government orders or other circumstances beyond the reasonable control of Radius Table Tennis, affected courses may be extended, rescheduled, made up or otherwise reasonably adjusted.

IV. Coaches and Course Adjustments

1. Radius Table Tennis assigns coaches based on the course type, coaching needs and coach experience and manages teaching ability and suitability through internal assessment.

Coaches and staff involved in teaching or working with minors will complete any necessary background checks in accordance with Radius Table Tennis requirements and relevant New Zealand regulations.

2. To maintain continuity, Radius Table Tennis will generally keep coaching arrangements stable.

If a coach cannot teach as scheduled due to competitions, illness, injury, temporary absence or other reasonable reasons, Radius Table Tennis may arrange a suitable substitute coach, adjust the course time or make other reasonable arrangements.

If there is a significant change to the course time, location or other major arrangements, Radius Table Tennis will aim to notify students or parents/guardians in advance and make reasonable arrangements.

V. Safety and Health of Minors

1. Parents/guardians must provide accurate information about the student's health at registration, including allergies, asthma or recent injuries.

If a student requires emergency medication, the medication must be carried with the student, and the coach and staff must be informed of its location before the course.

2. If an emergency occurs during training and the parent/guardian cannot be contacted immediately, Radius Table Tennis may take reasonable emergency medical action, including calling 111 or arranging medical treatment.

Any third-party medical costs, including ambulance fees, are the responsibility of the parent/guardian.

3. Students under 18 should generally be dropped off and collected by their legal parent/guardian or an authorised person and follow the required check-in and collection arrangements.

4. If a student will arrive or leave independently, arrive early, wait after class for collection, be collected late, or follow another special arrangement, the parent/guardian must notify Radius Table Tennis in advance and complete any required additional confirmation or written authorisation.

5. Except during courses or activities expressly organised and supervised by Radius Table Tennis, the venue does not provide childcare, supervision or long-term care services.

Parents/guardians are responsible for arrangements for minors before and after courses and during other non-course periods in accordance with Radius Table Tennis rules. Any special arrangement must be confirmed or authorised in writing in advance where required.

6. Students must follow coaches' instructions and class rules.

For bullying, verbal abuse, intentional damage to equipment or serious disruption of teaching, Radius Table Tennis may suspend the student's course participation if the issue cannot be resolved through communication.

7. Students under 18 must not enter, remain at or use the venue independently when the venue is unattended.

VI. Code of Conduct and Discipline

1. Students must comply with this Agreement, the venue rules published by Radius Table Tennis and reasonable safety requirements and cooperate with staff and coaches.

2. Students must follow coaches' instructions and class rules and must not engage in bullying, verbal abuse, deliberate disruption, behaviour that affects other students' training, or intentional damage to the venue or equipment.

Radius Table Tennis may issue reminders or warnings for breaches of rules. Repeated or serious behaviour may result in suspension or termination of the student's course participation.

3. Students must use tables, bats, training equipment and other venue facilities correctly and in accordance with instructions from coaches, staff and Radius Table Tennis.

Reasonable wear and tear from normal use is the responsibility of Radius Table Tennis. If facilities or equipment are damaged through intentional conduct, clearly improper use or failure to follow relevant requirements, Radius Table Tennis may require the responsible person to pay reasonable repair or replacement costs.

4. Students must keep the venue clean and comply with Radius Table Tennis rules regarding food and drink, smoking, alcohol, dangerous items and other venue use requirements.

VII. Privacy Statement and Photo/Video Consent

1. Radius Table Tennis may collect and use personal information necessary for course registration, coaching and daily management, including student and parent/guardian contact details, emergency contacts, course records and safety-related information.

This information will only be used for course arrangements, student management, safety management, fees and administration, and necessary communication with students or parents/guardians.

2. Radius Table Tennis will reasonably manage and protect the personal information it collects.

Personal information will not be provided to unrelated third parties except where required for course management, safety, legal requirements, or with the consent of the student or parent/guardian.

Students or parents/guardians may contact Radius Table Tennis to request access to or correction of their personal information.

3. Radius Table Tennis may take photos or videos during courses, activities or competitions for course records, venue promotion, the official website, social media or other reasonable purposes related to venue operations.

Students, or the legal parents/guardians of students under 18, may choose whether to allow identifiable photos or videos of the student to be used for these promotional purposes.

Declining photo or video consent will not affect the student's registration, participation in courses or access to the relevant course services.

4. Visitors and parents taking photos or videos at the venue must respect the privacy of others.

It is prohibited to photograph or distribute photos or videos involving another student's privacy or without appropriate consent.
