Student Agreement

This Agreement applies to all students who register for, enrol in, or take part in any training course or coaching activity provided by Radius Table Tennis Venue. This Agreement is governed by the relevant laws of New Zealand. For students under 18 years old, this Agreement needs to be signed or confirmed by their parent or legal guardian. Once registration is completed or the relevant fees have been paid, the student and their parent or legal guardian will be taken to have read, understood, and agreed to all terms of this Agreement.
I. Courses and Coaching Services
1. The coaching services provided by Radius Table Tennis Venue include, but are not limited to, the following:
(1) Term courses: courses usually run according to New Zealand school terms, with structured training for different levels.
(2) Short courses or holiday courses: courses held during specific periods, including school holidays, such as intensive training, interest based courses, or trial programmes.
(3) Custom or special programmes: including custom small group classes, focused training sessions, or other programmes arranged based on actual needs.
The course content, session schedule, coach arrangement, fees, and class size will be based on the enrolment information, official notice, or booking confirmation issued by Radius Table Tennis Venue at the time.
2. The purpose of the courses is to provide table tennis skills training and sports coaching. Radius Table Tennis Venue does not guarantee any specific learning result, competition result, grading result, or other outcome.
3. Students understand and agree that improvement in table tennis depends on many factors, including personal physical condition, practice frequency, attendance, and participation. Radius Table Tennis Venue will provide a reasonable and professional training environment and coaching support, but does not guarantee any specific result in competitions, grading, or other areas.
II. Attendance, Leave, Makeup Session, and Session Transfer
1. Course Registration and Confirmation
Students or their parent or legal guardian need to register through the channels specified by Radius Table Tennis Venue. When registering, they need to provide true and complete personal information, health information, and emergency contact details.
A student’s place in a course is only confirmed after the full course fee has been paid and Radius Table Tennis Venue has sent written or electronic confirmation to the student or their parent or legal guardian.
Students and their parents or legal guardians need to make sure all information provided is true and complete. Where the law allows, Radius Table Tennis Venue is not responsible for any issues caused by incorrect or missing information, including allergies or previous medical conditions.
2. Attendance Requirements
Students should arrive on time for their scheduled sessions. If a student is late for personal reasons, the session time will not be extended, and no extra compensation will be provided.
All students need to sign in before entering the venue. Students under 18 years old need to be signed in and signed out by their parent, legal guardian, or a person authorised by the parent or legal guardian. They also need to follow any related sign in and pick up procedures required by Radius Table Tennis Venue.
3. Leave and Absence
Each student is allowed to apply for one (1) personal leave per term or course. Personal leave needs to be requested at least twenty-four (24) hours in advance by written or electronic notice to Radius Table Tennis Venue.
If a student cannot attend a session due to sudden illness or injury, the student may apply for sick leave by providing a valid medical certificate. Sick leave is not limited to the one personal leave mentioned above. Radius Table Tennis Venue will decide whether an extra make up session can be arranged based on the actual situation.
If a student is absent without notice, gives late notice, or the leave is not approved, the session will be treated as attended. No make up session or refund will be provided in these cases.
4. Make Up Session Policy
For approved leave, Radius Table Tennis Venue will arrange one make up session within the same term. Make up sessions depend on class availability and are not guaranteed to be in the same class or with the same coach.
If a session cannot run due to reasons caused by Radius Table Tennis Venue, including facility maintenance, temporary coach absence, or public holidays, Radius Table Tennis Venue will arrange a make-up session, extend the course schedule, or provide course credit based on the actual situation.
5. Class Changes and Mid-Course Enrolment
If a student wants to change class for personal reasons, the request should be made as early as possible. The change can only be made after Radius Table Tennis Venue and the relevant coach have reviewed and approved it.
If the class change involves a fee difference, the difference will either be paid or refunded. Where the law allows, any refund may be subject to a reasonable administration fee.
For students joining a course after it has already started, the fee will be calculated based on the remaining sessions. The final amount will be confirmed by Radius Table Tennis Venue.
III. Fees, Withdrawal, and Refunds
1. All course fees need to be paid in full before the course starts in order to secure the student’s place. All published fees include 15% New Zealand GST. Radius Table Tennis Venue reserves the right to cancel the place of any student who has not paid the course fee.
2. In line with New Zealand law and common industry practice, refunds may apply in the following situations:
(1) If Radius Table Tennis Venue fails to provide a complete and reasonable service, or if the service is seriously different from what was described, the student may request a refund under the Consumer Guarantees Act.
(2) If Radius Table Tennis Venue cancels a full course and cannot arrange make up sessions, the unused session fees will be refunded on a proportional basis.
(3) Withdrawal for personal reasons: if a student requests to withdraw at least 7 days before the course starts, the full course fee may be refunded, but Radius Table Tennis Venue will deduct a reasonable administration fee, usually no more than 20% of the course fee paid.
After the course has started, refunds are generally not provided. However, if a student cannot continue the course due to serious illness or injury, with a valid medical certificate, or due to permanently moving away from the local area, Radius Table Tennis Venue may refund the remaining balance or convert it into course credit after deducting a reasonable administration fee.
3. Any free sessions, discounts, credits, or extra sessions are promotional benefits and cannot be exchanged for cash or used as cash.
When calculating any refund or credit, free or promotional benefits will not be included. Used free sessions have no cash value. Unused promotional benefits will automatically expire when the agreement ends.
4. If Radius Table Tennis Venue must close due to natural disasters, government public health orders, such as lockdowns, or similar events, this will not be treated as a breach of contract. Affected sessions will be moved to a later date after the venue reopens.
IV. Coaches and Course Adjustments
1. Radius Table Tennis Venue appoints coaches through internal review and course planning. Coaches have experience in table tennis or are active in the sport, and each coach is matched to courses that suit their teaching ability and experience.
Radius Table Tennis Venue follows relevant New Zealand safeguarding requirements. Coaches and staff have completed background checks to help protect students during training.
2. To keep courses consistent, Radius Table Tennis Venue will try to keep the coaching team stable. If a coach needs to be replaced due to competitions, illness, injury, or other unexpected reasons, Radius Table Tennis Venue will arrange another suitable coach to take over the class.
If there are major changes to the session time or location, Radius Table Tennis Venue will contact students in advance and make reasonable changes to the course arrangement.
V. Safety and Health of Minors
1. Parents or legal guardians need to tell Radius Table Tennis Venue about the student’s health condition when registering, such as allergies, asthma, or recent illness or injury.
If a student needs emergency medication, the medication needs to be brought with the student, and the coach and staff need to be told before the session where it is kept.
2. If an emergency happens during training and the parent or legal guardian cannot be contacted immediately, Radius Table Tennis Venue may take reasonable emergency action, such as calling 111 or arranging medical treatment.
Any third-party medical costs, such as ambulance fees, are the responsibility of the parent or legal guardian.
3. Students under 14 years old are recommended to be dropped off and picked up inside the venue by a parent or legal guardian, and to sign in and sign out at the designated area.
If a parent or legal guardian allows the student to leave the venue alone, such as by walking, cycling, or taking public transport, written permission needs to be given to Radius Table Tennis Venue in advance. Without written permission, Radius Table Tennis Venue will not allow an underage student to leave the venue alone.
4. Students need to follow the coach’s instructions and class rules. If a student bullies others, uses abusive language, damages equipment on purpose, or seriously disrupts the class, Radius Table Tennis Venue may suspend the student from the course if the issue cannot be resolved after communication.
5. If a student is at the venue outside their session time, such as arriving early or being picked up late, the parent or legal guardian is responsible for the student’s safety education and supervision.
VI. Code of Conduct and Discipline
1. Students need to behave properly when entering the venue or taking part in sessions. They need to respect staff, coaches, and other venue users. Bad language, inappropriate behaviour, or disturbing others during training is not allowed.
2. Students are not allowed to damage any venue facilities, equipment, or sports gear on purpose. If any damage is caused by the student, the cost of repair or replacement needs to be paid.
3. Smoking, drinking alcohol, and gambling are not allowed inside the venue. Food and sugary drinks are not allowed in the playing area.
4. Radius Table Tennis Venue supports fair play. Physical aggression, verbal bullying, and discrimination of any kind are not allowed.
5. If a student breaks these rules, Radius Table Tennis Venue may give a verbal warning, send written notice to the parent or legal guardian, or suspend the student from sessions. For serious or repeated behaviour issues, Radius Table Tennis Venue reserves the right to end the student’s course participation and venue access.
VII. Privacy Statement and Image Authorisation
1. Radius Table Tennis Venue collects personal information from students and parents or legal guardians, including contact details and health information, in line with relevant New Zealand laws. This information is only used for course management, safety, emergency contact, and account handling. Radius Table Tennis Venue will not share this information with others.
2. To record training progress, review coaching, and promote Radius Table Tennis Venue, photos or videos may be taken during courses or activities. These materials may be used on the official website, social media platforms, such as WeChat, Instagram, and Facebook, or promotional posters.
3. By registering for this programme, the student or their parent or legal guardian agrees that Radius Table Tennis Venue may use photos or videos that include the student for the promotion purposes mentioned above.
If the student or their parent or legal guardian does not want the student’s photos or videos to be used for promotion, they need to tell Radius Table Tennis Venue in writing before the activity starts.
Radius Table Tennis Venue will not use these materials in any way that harms the student’s image or goes against public standards.
4. Apart from Radius Table Tennis Venue staff, other visitors or parents who take photos or videos inside the venue need to respect other people’s privacy. They are not allowed to take or share photos or videos that involve other students’ privacy or are taken without permission.
