Booking Agreement

Part 1. Booking and Payment Policy
Conditions for Booking to Take Effect

A formal court booking must be made through the venue’s designated official channels.

Where a particular activity or time slot involves a booking fee, the booking takes effect only upon full payment of the applicable fee.

During any period in which booking fees are not yet implemented, the booking party must ensure the accuracy of the submitted information and comply with the commitment to attend as booked.
Pricing and Tax

Court usage fees are charged on an hourly basis. Users must comply with the booked time slot. Where a user is late for personal reasons, the booking end time will not be extended or compensated.

For any chargeable items, all published prices include 15 percent New Zealand Goods and Services Tax (GST).
Cancellation and Changes (Credit Mechanism)

Credit retention and transfer (at least 2 hours prior)
If the booking party needs to change or cancel a booking, notice must be given to the venue at least 2 hours in advance. Where a booking is cancelled within this time frame, any fee already paid (if applicable) will be converted in full into account Credit or course Credit, to be used for future purchases. -
Breach responsibility (within 2 hours)
If notice is given less than 2 hours in advance, or the booking party fails to attend without reasonable cause, the booking is deemed to have been consumed. Where a booking fee has been charged, it will not be refunded or converted into Credit. -
Special circumstances
Where the booking party is unable to attend due to sudden force majeure circumstances such as injury or illness, the booking party may apply for case by case handling with supporting evidence. The venue reserves the final right of review and decision.
Part 2. Venue Conduct and Usage
Court Scheduling and Time Effectiveness

Court usage is strictly subject to the official booking record or on site arrangements by venue staff.

Users must comply with the booked time slot. Where a user is late for personal reasons or does not enter on time, usage time will not be extended, compensated, or converted into cash.

Court bookings are for personal recreational sport or routine practice only. Without the venue’s prior written consent, no individual or organisation may use booked courts for any form of paid teaching, commercial coaching, or profit making activity.
Professional Attire Requirements

Entry into the sports area requires sports clothing and appropriate athletic shoes.

Footwear restrictions
Leather shoes, high heels, slippers, or any non sport shoes with soles made of dye bleeding materials are strictly prohibited in the sports area. Users are recommended to wear non marking indoor sports shoes to protect the professional sports flooring.
Environment and Hygiene Management

No smoking and no alcohol
Smoking is prohibited throughout the indoor venue and the entire car park area. Any person suspected of being under the influence of alcohol or illicit drugs is strictly prohibited from entering the sports area. Venue staff may refuse entry to such persons, and no refund or compensation will be provided. -
Food and drink restrictions
Except in the designated rest area, eating and the carrying of sugary drinks are prohibited in the sports area. -
Pets
Except for assistance animals such as guide dogs, pets are prohibited from entering the venue.
Facility Protection and Compensation

Users must take care of all facilities, equipment, furniture, and flooring within the venue.

Damage reporting
If any facility damage is discovered prior to use, users must promptly notify staff. -
Compensation responsibility
Where damage is caused by improper operation or malicious conduct, the responsible party must bear full repair costs or compensate at replacement value.
Equipment Return and Maintenance
After use, users must return any borrowed equipment such as rackets and ball collection nets to the designated location and maintain cleanliness and order of the court area.
Administrative Right to Adjust
The venue reserves the right to temporarily adjust court arrangements due to facility maintenance, professional training, tournament organisation, or specific event needs. Where such adjustments affect users, the venue will provide advance notice via announcements or communications.
Part 3. Safety and Limitation of Liability
Sports Risk Notice and Assumption of Risk
Table tennis involves rapid physical movement and competitive elements and carries potential injury risks. By entering the venue and commencing play, the user is deemed to understand and voluntarily assume all inherent risks associated with the sport.
Physical Condition Declaration

The user declares that their physical condition is suitable for participating in table tennis.

Where a user has heart disease, high blood pressure, severe asthma, or any other condition unsuitable for strenuous exercise, the user must assess risks independently or consult medical advice prior to participation. If any physical discomfort occurs at the venue, the user must immediately stop and seek assistance.
Limitation and Disclaimer of Liability

Personal property
The venue does not assume responsibility for custody of personal property and is not liable for any loss, damage, or theft of personal belongings within the venue. -
Personal safety
To the maximum extent permitted by law, the venue is not liable for injuries caused by the user’s personal negligence, breach of venue rules, the user’s own physical condition, or third party conduct (including collisions with other users). Users are advised to obtain relevant accident insurance as needed.
Supervision Responsibility for Minors
Users under 14 years of age must be accompanied at all times by an adult guardian who must perform supervision duties. The guardian bears legal and financial responsibility for the minor’s safety and conduct within the venue, including but not limited to damage to facilities and interference with others.
Emergency Medical Authorisation
Where a sudden medical emergency occurs at the venue and the emergency contact cannot be reached promptly, the venue and its staff may assist by calling 111 or taking reasonable first aid measures. Any third party medical or transport costs arising from this, including ambulance fees, shall be borne by the user.
Part 4. Privacy Statement
Purpose of Information Collection
The venue collects the booking party’s name, contact details, and payment information solely for booking fulfilment, identity verification, accounting, and emergency safety contact.
Video Surveillance
For venue safety and equipment protection, the venue operates a 24 hour security surveillance system. By entering the venue, the user is deemed to be aware and to consent that their image may be recorded. Video footage will be accessed only in the event of incidents, disputes, or legal requirements, and will be overwritten after the legally required retention period.
Information Security and Sharing
The venue undertakes not to disclose the booking party’s personal information externally unless authorised by the individual or required under New Zealand law (for example, cooperation with police investigations).
Right of Access and Correction
The booking party has the right to request access to and correction of their personal information recorded by the venue.
Part 5. Conduct and Discipline
Respect for the Venue
Users and accompanying persons must observe public order and respect staff and other users. Offensive language, improper conduct, or interference with others’ activities is strictly prohibited.
Fair Play and Protection
The venue promotes a fair and civil sporting environment. Any form of physical assault, verbal bullying, or discriminatory behaviour is strictly prohibited.
Handling of Breaches
For breaches of venue rules, interference with others, or intentional damage to facilities, the venue may issue verbal warnings, create written records, or require immediate departure without refund. For serious cases or repeated breaches, the venue reserves the right to permanently revoke the person’s booking eligibility.
Part 6. Photography, Recording, and Promotion
Venue Authorised Recording
For teaching records or venue brand promotion, the venue may take photos or videos within the venue. By entering the venue, the user is deemed to consent that their likeness may appear on the venue’s official website, social media platforms such as WeChat, Instagram, and Facebook, or promotional posters.
Protection of Image Rights
The venue undertakes that such materials will be used only for lawful promotion and will not be used for any purpose that harms the user’s image or violates public order and good morals.
Right of Withdrawal
If a user does not wish their image to be used for promotion, the user may notify the venue in writing. The venue will cease use and delete relevant materials within a reasonable time after receiving the notice.
Restrictions on Third Party Recording
Users must respect others’ privacy when recording. Recording and disseminating photos or videos involving other users’ privacy without consent is strictly prohibited.
